Essential Package
What's Included:
- Two 1-hour consultation plus follow up consultation
- One assigned event planner
- Referral of caterer; coordinate locating and booking the venue
- Attend one (1) site to venue and caterer
- Assist with menu planning
- Assist with decor design (Colors, table arrangement, seating arrangement)
- Includes four hours of on-site coordination
- Referral for post event clean-up
Classic Package
What's Included:
- Schedule initial meeting 6-8 weeks before your meeting/event date
- Create event checklist
- Unlimited email and telephone consultations
- Site design
- Vendor Confirmation 2 weeks prior to the event
- Assist with seating and table arrangements
- Arrange blocked hotel rooms for guests and meeting attendees
- Contact and coordinate final details with vendors
- Prepare event timeline
- Arrange/Set-up registration table and display boards as needed
- Resolve any issues that may arise during the event
- Arrive 1-2 hours before the start of the event to direct vendors and stay on-site during the event (up to 8 hours)
- Greet guests/attendees
- Distribute event packets/agendas
- Arrange seating cards
- Ensure meeting/event starts on time
- Keep meeting/event on schedule
- Ensure all necessary meeting items are in the room (supplied by the client)
- Deliver final payments to vendors
- Ensure cleanup is complete after the event
- Coordinate the return of any rental items
- Schedule a post meeting to review the event
Premium Package
What's Included:
- Set initial planning meeting once the event date has been set
- Unlimited email and phone consultation
- Conduct bi-weekly progress meetings to address concerns, review plans, track progress
- Create and maintain budget; email updates to clients as changes occur
- Etiquette and protocol advice on seating arrangements, invitations, etc
- Vendor recommendation stationery, menu cards, place cards, etc.
- Assist with venue selection and booking
- Referral of vendors to include: florist, music/entertainment, caterer, etc.
- Attend site visits of venue and vendors (up to 2 per vendor category)
- Contract review of booked vendors
- Contact and coordinate all final details with vendors
- Assist with creation of program/event timeline
- Prepare and distribute timeline to vendors
- Prepare seating chart
- Arrange blocked hotel rooms for your guests and meeting attendees
- Arrange/Set-up registration table and display boards
- Direct meeting/event to include:
Resolve any issues that may arise during the event
